Frequently Asked Questions

What is The Structured Musician?

The Structured Musician is a process management app for independent musicians. You define step-by-step workflows (songwriting, recording, release, marketing), track songs and albums through those workflows stage by stage, and the app shows you how your process is improving over time through a five-level maturity system.

What are "processes" and "stages"?

A process is a named workflow with an ordered list of stages — for example, a "Songwriting" process might have stages: Idea Capture → Draft → Arrangement → Recording → Mixing → Release. Each stage can have a name and optional "done criteria" describing what completing that stage means. You can have 2 to 15 stages per process. You can build from scratch or import one of the four pre-built templates (Songwriting, Recording & Production, Mixing & Mastering, Release & Marketing).

Do I need to create an account to use the app?

No. The app starts with an anonymous session — no sign-up screen, no friction. You can define processes, track songs, and view your dashboard with no account. An account is required for cloud sync (Plus) or removing ads (Ad-free).

What are the five progress levels?

The levels reflect your process maturity, not your musical skill:

  1. Getting Started — working without a defined process
  2. Building Habits — process defined and followed, not yet measured
  3. Tracking — process followed with timing data being captured
  4. Analyzing — reviewing data regularly and identifying bottlenecks
  5. Mastering — actively refining your process based on data

Tap any progress level card on the Dashboard to see what you need to do to advance to the next level. You can also complete a formal self-assessment (under 3 minutes) to check your current level.

How does item tracking work?

You add a song or album on the Tracking tab, assign it to one of your processes, and it starts at stage 1. When you finish a stage, tap "Move to Next Stage." Each transition captures a timestamp automatically and optionally lets you add a note (up to 500 characters). The item's detail screen shows a full timeline of every stage with elapsed time and any notes you added.

What is timing data and how is it calculated?

Timing data is calculated automatically from the timestamps captured when you move items between stages — you never enter time manually. Once you have 3 or more completed items in a process, the Dashboard shows average time per stage, total average time per item, and which stage is your bottleneck (the one that takes the longest on average).

Can I group songs into an album?

Yes. When adding an item, select "album" as the type. You can then group individual songs under the album. The album view shows each song's individual progress and an aggregate completion percentage across all songs in the album.

What is a progress assessment?

A progress assessment is a 5-8 question self-assessment questionnaire (takes under 3 minutes) that determines your current process maturity level. Questions are in plain language — things like "How consistently do you follow this process?" The results show your current level and 2-3 specific actions to reach the next level. The app suggests a reassessment after you complete 5+ more items.

What does the Plus subscription include?

Plus adds cloud sync across your devices (phone, tablet, laptop), advanced analytics including bottleneck charts and velocity metrics, and access to curated process templates from professional workflows. Data syncs automatically when you reconnect after being offline.

Can I use the app offline?

Yes. All data is stored locally using an offline-first architecture. You can create processes, add items, move stages, and add notes without any internet connection. A sync indicator shows when syncing is in progress, and an offline banner appears when your device has no connection. Sync is only available to Plus and Pro subscribers.

What happens if I edit a process that has active items?

Editing a process (adding or reordering stages) does not affect items currently tracked against it — they remain at their current stage. If you delete a process that has active items, the app warns you before confirming the deletion.

Is my data private?

Yes. Your process and tracking data is your own — it is never used for any purpose other than running your account. See our Privacy & Security page for full details.
