How to Create a Custom Process from Scratch

Rafael, a former software QA engineer turned singer-songwriter, approaches music the way he used to approach test plans — methodically, with checklists. He builds his "Singer-Songwriter Pipeline" from scratch with 7 stages, complete with done-criteria for each one.

When This Applies

Use this when the pre-built templates don't match how you actually work, or when you want to define a process for something the templates don't cover — like a collaboration workflow, a client delivery process, or gig booking and prep.

Steps

  1. Go to the Processes tab (second tab in the bottom navigation).

  2. Tap "Add Process" — a creation form opens.

  3. Enter a process name (required, max 50 characters). Example: "Singer-Songwriter Pipeline."

  4. Add a description (optional, max 200 characters) — describe what this process is for.

  5. Add your stages — tap "Add Stage" for each step. Each stage requires:

    • Name (required, max 30 characters) — e.g., "Idea Capture," "Draft," "Arrangement," "Recording," "Mixing," "Review," "Release"
    • Done criteria (optional, max 150 characters) — e.g., for Draft: "Melody and chord progression finalized"
  6. Reorder stages — drag any stage to change its position. The first stage is where new items start.

  7. Review — you need at least 2 stages and can have up to 15. The Processes tab preview shows the total stage count.

  8. Tap Save — your process appears on the Processes tab and the Dashboard adds a progress level card for it at "Getting Started."

Tips

  • Stage names are short by design (max 30 characters) so they fit on item cards in the Tracking tab.
  • Done criteria help you stay consistent about what "finished" means for each stage — especially useful when returning to a song after a break.
  • You can always edit the process later to add, remove, or reorder stages. Existing items tracked against the process are not affected by edits.

Expected Outcome

After saving:

  • The Processes tab shows your new process with the correct stage count
  • The Dashboard shows a new progress level card at "Getting Started"
  • You can immediately add songs and assign them to this process from the Tracking tab
